PromoStandards API Integration & Inventory Sync for Shopify

Connect PromoStandards suppliers to Shopify with a catalog workflow built for real promotional-products data: products, variants, media, inventory, quantity breaks, decoration pricing, and supplier-specific exceptions.

  • Supplier product data transformed into Shopify-ready products and variants
  • Inventory synchronization with stock rules tailored to your storefront
  • Pricing & Configuration with quantity breaks, decoration charges, and margin logic
  • Variant-aware images, swatches, attributes, specifications, and metafields
  • Custom integration work for the supplier quirks that standards alone do not solve

PromoStandards makes it possible for promotional-product suppliers, distributors, ecommerce stores, and ERPs to exchange product, pricing, inventory, media, and order-related data through common service definitions. In practice, however, every supplier implements the standard differently.

That is where eSyncer helps. We connect the supplier API, normalize the response into one clean catalog structure, apply your commercial rules, and synchronize the resulting data to Shopify through a managed admin platform at app.esyncer.com.

PromoStandards is a standard. Supplier data is not.

A supplier may expose the same named service as another supplier but use a different SOAP version, field structure, image convention, availability format, pricing configuration, or authentication method. A generic connector often fails at that final 10%—the part that determines whether a store is accurate and sellable.

SOAP & XML expertise

eSyncer works with the SOAP Product Data, Media Content, Pricing & Configuration, and Inventory endpoints used by PromoStandards suppliers.

Supplier-specific rules

We handle vendor-specific product IDs, color/size variants, media classifications, currencies, pricing configurations, and feed limitations.

Shopify-ready normalization

Raw supplier records become products, variants, collections, tags, images, metafields, inventory policies, and structured description data.

Managed operations

Run scheduled syncs, inspect prices and images, maintain mappings, and review logs without editing import scripts every day.

What eSyncer synchronizes from PromoStandards

PromoStandards service / data How eSyncer uses it in Shopify
Product Data Products, brands, categories, descriptions, product types, colors, sizes, materials, dimensions, and product options.
Inventory Variant-level availability. eSyncer can preserve exact low stock and round high quantities down to sensible display levels when required.
Pricing & Configuration List pricing, quantity breaks, configuration type (for example blank or decorated), FOB selection, and decoration/setting charges.
Media Content Product and variant images, color-specific media, image selection rules, swatches, and image queue processing.
Product attributes Brand, category, material, origin, packaging, dimensions, weight, and custom fields mapped to Shopify metafields.
Supplier configuration Country, currency, pricing version, inventory version, product version, and supplier-specific configuration are controlled per client.

How the PromoStandards sync works

  1. Discover products. eSyncer calls the supplier Product Data service and identifies the products selected for your catalog.
  2. Retrieve product details. It collects descriptions, brand, categories, options, sizes, colors, packaging, dimensions, and applicable product content.
  3. Read pricing and configuration. The connector requests pricing for your configured type (such as Decorated or Blank), builds quantity-break pricing, and retains decoration charges where the supplier provides them.
  4. Sync availability. Inventory is collected per part / variant and transformed according to your business rules before Shopify is updated.
  5. Match media to variants. Supplier image classifications and identifiers are used to select relevant images and associate them with the correct color or part.
  6. Map to Shopify. eSyncer applies your collection, tag, metafield, pricing, and publishing rules, then creates or updates the relevant product records.
  7. Validate and operate. Use eSyncer’s admin tools and logs to check data quality, inspect prices and missing images, and adjust configuration without rebuilding the integration.

Pricing that respects promotional-products complexity

Promotional-products pricing is rarely one number. Buyers may see different costs by quantity, decoration method, location, configuration, currency, or supplier program. eSyncer’s connector reads part pricing and turns it into usable Shopify data.

Quantity breaks

Minimum quantity and price pairs are stored as tier pricing. Those breaks can be published through mapped product metafields for a custom storefront or quote workflow.

Blank or decorated configuration

Select the supplier configuration relevant to your business. The connector supports a configurable pricing type rather than assuming every catalog sells the same way.

Decoration charges

When Pricing & Configuration returns charge data, eSyncer keeps the charge name, price, decoration name, imprint area, and discount code available for downstream use.

Client-specific commercial rules

Currency conversion, pricing multipliers, product-level rules, and storefront-specific tier columns can be configured for individual supplier programs.

Important: Shopify’s native product price is only one part of a promotional-products pricing experience. eSyncer can preserve the supplier’s quantity-break data as Shopify metafields so your theme, app, or quoting flow can display it correctly.

Accurate inventory without misleading availability

Inventory is retrieved at part level, so a customer does not see a color or size as available merely because a related variant has stock. eSyncer also supports stock-display rules that protect customer trust:

  • Stock under 1,000 can remain exact
  • Stock from 1,000 to 99,999 can be rounded down to the nearest hundred
  • Stock at 100,000+ can be rounded down to the nearest thousand
  • Zero-price or unavailable supplier configurations can be set to zero quantity instead of being sold accidentally
  • Inventory policy can be configured to prevent overselling

Variant images, product content & catalog enrichment

PromoStandards media feeds are powerful but inconsistent. eSyncer processes image type and classification information to choose useful product media and attach it to the correct product or variant. It supports media identifiers based on color or part ID and accommodates supplier-specific naming conventions.

Color and size variants

Build Shopify options from supplier Color and ApparelSize data, then connect each variant to price, quantity, reference, image, swatch, and SKU data.

Image quality workflow

Image queue processing and Image Inspector tooling make large catalog imports manageable: find missing product or variant images and trigger a controlled refresh.

Metafields that stay structured

Map supplier data to Shopify metafields for brand, material, country of origin, packaging, dimensions, weight, price breaks, and your own storefront fields.

Custom tags and badges

For supported catalogs, eSyncer can load a client-maintained CSV mapping and add product badges or tags based on the supplier product code.

Built for real supplier implementations

eSyncer is not a one-size-fits-all feed importer. Our PromoStandards adapter contains per-client and per-supplier configuration for catalog behavior such as:

Configuration area Examples
API services Separate endpoint versions for Product Data, Media Content, Pricing & Configuration, and Inventory.
Catalog scope Included-product controls, brand filters, customer CSV product lists, and special product family handling.
Media rules Color or part-ID matching, image classifications, minimum image dimensions, front-image selection, and swatches.
Pricing rules Blank/decorated mode, FOB ID, currency ratios, quantity tiers, supplier discounts, custom price columns, and margin logic.

PromoStandards integration FAQ

What is PromoStandards?
PromoStandards is a set of common data-service definitions used in the promotional-products industry. Suppliers and distributors use it to exchange product data, media, inventory, pricing and configuration data, and other operational information.
Which PromoStandards services can eSyncer connect?
The eSyncer PromoStandards connector works with Product Data, Media Content, Pricing & Configuration, and Inventory services. Additional workflows can be scoped according to the supplier’s available services and your requirements.
Can you connect any PromoStandards supplier to Shopify?
In most cases, yes. We first review the supplier’s API version, credentials, available services, and real response data because supplier implementations vary even when they follow the same standard.
Does eSyncer support quantity-break pricing?
Yes. Pricing & Configuration data is read as minimum-quantity / price tiers. eSyncer retains those tiers and can map them to Shopify metafields for theme or quoting logic.
Can I choose blank or decorated pricing?
Yes. The connector supports a configurable pricing configuration type, such as Blank or Decorated, based on the supplier API and your catalog strategy.
How does inventory synchronization work?
eSyncer retrieves availability per supplier part or variant, applies your stock rules, and updates Shopify inventory. It can use exact low inventory while rounding high volume availability for clearer customer-facing stock display.
What happens to supplier images, colors, and sizes?
eSyncer builds Shopify options and variants from supplier records, then applies configurable image matching by color or part ID. It can carry image, swatch, reference, price, quantity, and attribute data at variant level.
Can we add our own product tags and metafields?
Yes. Attribute Mapping connects supplier data to your Shopify metafields. For supported clients, Custom Tag Mapping also lets operators upload a CSV to add product-code-specific badges and tags.
Do you provide ongoing maintenance?
Yes. eSyncer is a managed integration platform. We can maintain mappings, update supplier-specific behavior, investigate sync logs, and extend the connector as your store and supplier relationships evolve.
